Experience and Application Freeze
Preparing for an elective rotation requires both a financial and time commitment. Elective requests must be made at least eight weeks in advance for domestic rotations and 16 weeks in advance for international rotations. If you have not completed all requirements before your start date, the request will be cancelled, and you will need to submit a new request for future dates.
Application materials must be submitted by WashU Medicine Program Leadership for all Elective Requests. The application and supporting materials are only good for the current experience and academic year. Submission of a form does not constitute approval. Please do not arrange travel prior to receiving approval.
Consortium resident, fellow, or NST trainee elective applications will not be reviewed or processed from June 5th- August 14th 2026 by the GME Office.
Step 1 Review options:
- Consortium residents, fellows, or NST trainees wishing to complete a domestic elective rotation must contact their program leadership to determine feasibility of request.
- Consortium residents, fellows, or NST trainees/program will need to work with hosting institution/program on host institution’s required paperwork
- WashU GME strongly recommends speaking with the hosting program AND the corresponding GME team at the hosting institution.
Step 2 Application materials collected & submitted:
- Program leadership collects & submits all required application documents and the required documents:

- This will need to be completed by the resident/fellow/NST trainee and turned in to the Training Program Liaison:
- WashU employed trainees: Jennifer Bondurant
- BJH & SLCH employed trainees: Terra Mouser and Tobit Cosa
- MBMC employed trainees: Margaret Kendrick
- This will need to be completed by the resident/fellow/NST trainee and turned in to the Training Program Liaison:
Step 3 Application review & decision:
- GME reviews application for educational, accreditation, and employment requirements, and requests additional information as needed.
- If approved, GME coordinates with the host institution/location on agreement documents.
- If using another institution’s documents, legal review will be required. This adds an additional minimum of 16 weeks to the request.
- After documents are approved and finalized, GME office staff will email the trainee, program coordinator and program director.
