Our Programs’ Participating Sites
The Consortium ensures oversight of participating sites through our GMEC process. Any location off the Kingshighway campus, including WashU clinics and Children’s Specialty Care Clinics, requires approval through the GMEC process.
All rotations off the Kingshighway campus require a Program Letter of Agreement (PLA). PLAs are an educational agreement between a GME program and the Participating Site where a recurrent, standing rotation is located. Additionally, some sites will require an Inter-Institutional Affiliation Agreement (IIAA). These are legally binding agreements, solely initiated and managed by the WashU/BJH/SLCH GME Consortium and extend protection and malpractice while trainees rotate at non-Consortium owned locations.
GMEC Approval for New Participating Sites
The Graduate Medical Education Committee is required to oversee the request to add or delete a participating site for all Programs. Please note approval by the GME Office and GMEC is required prior to rotating at a new site.
Please note obtaining all proper paperwork for a new site may take minimally one year.
Updating Existing Program Letters of Agreement
On February 9th 2026, the ACGME suspended the 10-year renewal requirement for PLAs. The only change to an existing PLA that requires updated signatures is a change in the Site Director. A change in the DIO or Program Director does not necessitate an updated PLA.
If a PLA with the Veterans Affairs Medical Center at Jefferson Barracks or John Cochran needs to be updated, please reach out to Ricky Berg.
Our Institution as the Participating Site
Agreeing to become a participating site for another institution’s program is an important responsibility and requires GME involvement to facilitate any agreements (legal, affiliation, program letter of agreement, etc). This process timeline mirrors that of GMEC and therefore will take minimally one year for completion prior to accepting new rotators.
For any programs who are considering becoming a participating site for another institution’s program, responsibilities are divided as follows:
Site Director
- Correctly identify the GME Consortium on all documents
- Liaise with program leadership on all required processes
- Upload fully executed agreement into New Innovations
- Fulfill all ACGME and other accrediting bodies’ requirements of Site Directors for the specialty
Program Leadership
- Submitting any hands-on rotator through the GME process.
- Completing & managing the rotator’s personnel file in New Innovations.
- Signing off on the block schedule assignment for reporting
